About the Role
We're looking for a detail-oriented and driven Prepping/Order Processing Team Lead to oversee our Quote Prepper team and ensure the smooth, accurate processing of quotes, orders, and vendor catalogues. Reporting to the Estimation Manager, you will be the backbone of our quoting workflow, setting the standard for quality, training and coaching team members, and keeping our operations running efficiently as we scale. This is a hands-on role that combines operational coordination with people leadership in a fast-paced startup environment.
What You’ll Do
- Lead and coordinate the day-to-day work of the Quote Prepper team
- Review and approve quotes and orders, ensuring accuracy and completeness
- Train, onboard, and mentor team members—building strong habits and high standards
- Ensure plant lists and client submissions meet quality standards before processing
- Own workload distribution and prioritization to meet turnaround targets
- Maintain and improve vendor catalogues and inventory data in our systems
- Identify inefficiencies and partner with Operations leadership to streamline processes
- Act as the go-to escalation point for complex or non-standard requests
- Track team performance and report on key metrics and opportunities for improvement
What You Bring
- 3–4 years of experience in operations, data entry, admin coordination, or supply chain
- Proven ability to support, train, or guide others (formal or informal leadership)
- Exceptional attention to detail and a structured, methodical approach to work
- Strong organizational skills—you can manage competing priorities without dropping the ball
- Confidence working with CRM or data tools (e.g., HubSpot or similar systems)
- Proficiency in Microsoft Office, especially Excel
- A proactive, ownership-driven mindset—you take initiative and hold yourself and others accountable
- Comfort working in a fast-paced, evolving startup environment
- Strong written and verbal communication skills in English
Nice to Have
- Experience in financial services, supply chain, or a related field
- Previous experience in a team lead or supervisory role
- Exposure to ERP or inventory management systems (e.g., SAP, NetSuite)
- Interest in landscaping, horticulture, or agriculture
