About the Role

We're looking for a highly organized and proactive Project Operations Manager to lead our Project Team's operations. In this role, you'll work closely with the Head of Growth to own day-to-day operations, drive process improvements, and ensure Project Managers stay focused on delivering high-quality creative work.

You'll manage operational activities across the team, own PM scheduling and resource allocation decisions, track performance metrics, own bonus calculations and performance evaluations, and drive improvements to team workflows. You'll also set and enforce quality standards across all deliverables.

This is an ideal role for someone with a creative background who enjoys building structure, solving operational challenges, and leading a team while caring deeply about the quality of the work produced.

Responsibilities

Team Management & Operations

  • Own day-to-day management of the Project Team, including PM schedules, workload balance, and vacation planning
  • Decide Project Manager allocation to incoming projects based on availability, capacity, and fit
  • Lead workflows and cross-functional communication across the team to ensure consistent operational flow
  • Own onboarding and operational training for new Project Managers

Performance & Reporting

  • Own project progress, workload, and operational KPI tracking through accurate dashboards and records
  • Calculate and approve monthly and quarterly bonus payouts; lead performance evaluations for Project Managers
  • Prepare and present operational summaries and reports for leadership

Quality & Process

  • Set and enforce quality standards across active projects and PM work, ensuring timelines are met
  • Lead brief alignment sessions to ensure all PMs are on the same page
  • Identify bottlenecks and implement solutions to improve team efficiency
  • Own and document internal processes and operational workflows
  • Ensure project documentation is up to date and organized

Requirements

  • 5+ years of experience in Operations Management, Project Management, Program Management, or a similar role
  • Proven experience managing or leading teams
  • Creative industry background (agency, content production, design, or similar)
  • Comfortable reviewing creative work and giving structured, constructive feedback
  • Strong organizational and time management skills with high attention to detail
  • Comfortable working with spreadsheets and data (KPI tracking, bonus calculations, reports)
  • Strong leadership, communication, and coordination skills
  • Ability to manage multiple priorities and make decisions in a fast-paced environment
  • Proactive, process-driven mindset with a focus on continuous improvement
  • Advanced English communication skills

  • Experience facilitating team syncs, retrospectives, or alignment sessions
