Job Summary

The Accounts Payable Specialist is responsible for managing and maintaining all outgoing payments, maintaining vendor relationships and ensuring all payments are posted accurately to each corresponding bank account. You will be working with employees across the organization to obtain timely approval of invoices, issuing purchase orders and maintain credit card accounts. This role will be responsible for approval sign offs and coding within a spend management and procurement systems

Key Responsibilities

  • Own the spend management and procurement systems.
  • Maintain accurate vendor records and communicate with suppliers as needed.
  • Review and process vendor invoices, ensuring accuracy and proper documentation.
  • Obtain necessary approvals for vendor payments.
  • Generate and track purchase orders and report deficiencies.
  • Reconciling transactions from one system to another.
  • Resolve invoice discrepancies and payment issues.
  • Collect W9s from vendors.
  • Reconcile all credit card statements.
  • Assist with year-end audit requests.
  • Assist with financial reporting.
  • Ensure compliance with accounting principles and company policies.
  • Maintain a clean AP subledger (matching payments or providing comments on outstanding credit memos that have not been applied or used.)

Qualifications

  • Strong problem-solving and decision-making skills.
  • Minimum 2+ years’ experience in accounting/finance
  • Strong analytical skills and attention to detail.
  • Ability to work independently and manage multiple priorities simultaneously.
  • Effective communication skills to collaborate with cross-functional teams and communicate with vendors.
  • Proficiency in MS Excel and other relevant software applications.
